Job Description

The Assistant Community Director is responsible for implementing workflow procedures based on direction from the company’s Community Director and 180 Multifamily Management LLC.  Also, for supervising employees during day-to-day tasks, providing customer support in escalated situations, managing the overall workflow of a workplace effectively computing, classifying and recording numerical data to keep financial records complete while assisting with the leasing, marketing and resident relations for the community.

 

Essential Duties and Responsibilities:

  • Oversee professional day-to-day operations and maintain employee responsibilities.
  • Consistently implement policies of the community to contribute to cleanliness and curb appeal of the community on a continuing basis.
  • Maintain availability report, process applications for approvals (i.e., credit check, rental history, etc.) Submit processed applications to the Community Director for approval.
  • Assist in preparing advertising materials as well as present creative leasing and marketing ideas.
  • Monitor and provide feedback to managed staff to effect improvements in organizational goals.
  • Maintain records of market rental levels of comparable units in surrounding area.
  • Daily focus all staff’s compliance to organizational standards, including safety standards and client or customer communications
  • Greet prospects and qualify by covering all criteria (ask questions, utilize completed guest cards, etc.). Also ask prospects complete applications and secure deposits in accordance with 180 Multifamily Properties, LLC procedures and Fair Housing requirements.
  • Assist in monitoring renewals, distributing them and follow up on undecided renewal notices.
  • Assist in collection of rents and preparation of receipts. Focus daily on any account balances with documentation saved for records. Always answer questions for residents about community, repairs, rent, rules, etc. Follow up on a timely basis if unable to respond to residents on all matters.
  • Maintain complete resident files by reviewing the lease and all completed appropriate paperwork. Always input information into system accurately and on a timely basis.
  • Assist with legal proceedings.
  • Understand the Texas Apartment Association lease and contracted credit report application.
  • Communicate with Community Manager regarding accuracy of invoices received so that purchase orders are attached, and invoices are coded correctly, according to company procedures. Ensure that all invoices received from the properties are approved, entered and paid within a timely manner.
  • Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed service requests on a weekly basis.
  • Demonstrate ability to diffuse and respond to customer concerns to avoid escalation of the problem.

 

Position Requirements:

  • Previous Assistant Community Director experience.
  • Fair Housing Certification, or willingness to obtain prior to interacting with prospective residents.
  • Demonstrate an ability to support and contribute to community team.
  • Demonstrate strong oral and written communication skills.
  • Must possess a positive attitude and the ability to smile under all circumstances.
  • Participate in training in order to comply with new and existing laws.
  • Valid driver’s license, good driving record and auto insurance.
  • Apartment management experience preferred.
  • Organized, clean, and professional always throughout the workday and/or whenever present at the community.

 

Education:

  • High school diploma or equivalent.
  • 2+ years College: Associates Degree in Business Administration or Management preferred.
